EventPhotoId is a web-based event photography platform that helps participants find and access photographs taken during events.
Our service may use information such as your event details, name, bib number, and, where available, a photo submitted by you to help identify and match you with photographs from an event.
Our photo-matching technology is designed solely to help you locate your event photographs. It is not intended for surveillance, tracking, profiling, or the creation of a permanent facial-recognition profile.

Depending on how you use the Service, we may collect the following information:

- Other information provided by the event organiser for the purpose of identifying participants
2.2 Photographs
Event photographs may contain identifiable individuals, including their faces. Photographs are processed and displayed to help participants locate and access photographs from their event.
2.3 Photo-Matching Information
If you choose to use our photo-matching feature, you may be asked to provide a photograph or selfie.
We may temporarily process facial characteristics contained in the submitted image to compare them with faces appearing in photographs associated with the relevant event.
This processing is performed solely for the purpose of finding photographs that may correspond to you.
2.4 Technical Information
When you access our website, we may automatically collect limited technical information, such as:
- IP address
- Browser type and version
- Device type
- Operating system
- Date and time of access
- Pages or features accessed
- Basic diagnostic and security information

Limited Use

4. Facial Matching and Biometric Information
4.1 How Facial Matching Works
EventPhotoId may provide an optional facial photo-matching feature that allows you to upload a photograph of yourself to help locate your event photographs.
When you use this feature, our system analyzes relevant facial characteristics in the submitted image and compares them with photographs available for the selected event.
The purpose of this process is limited to identifying photographs that are likely to contain the same person.
4.2 No Permanent Facial Profile
EventPhotoId does not create or maintain a permanent facial-recognition profile for you.
The facial information used for the matching process is processed only for the purpose of completing the requested photo search.
We do not use this information to:
- Track your movements
- Monitor you across different events or websites
- Identify you for unrelated purposes
- Build a permanent biometric identity profile
- Sell or license facial information
- Use facial information for advertising or marketing
4.3 Temporary Processing
The selfie submitted for facial matching is never stored. Any temporary facial-matching information generated during the process is automatically deleted within 30 minutes.
If a third-party facial-analysis or cloud-processing provider is used, the relevant processing and retention practices will also be governed by the applicable contractual and privacy safeguards.
4.4 Voluntary Use
The facial-matching feature is optional.
You may use alternative methods, such as entering your name, bib number, event information, or other available search criteria, where those methods are offered.
By choosing to use the facial-matching feature, you acknowledge and consent to the temporary processing of facial information for the specific purpose described above.

Personal information may be obtained from:
- You directly
- Event organisers
- Event registration platforms
- Timing or race-result providers
- Photography teams or event photographers
- Service providers working on behalf of EventPhotoId
Third-Party Data
Where information is provided to us by an event organiser or other partner, that organisation may have its own privacy policy governing the collection and use of your information.

We do not sell, rent, or trade your personal information.

Photographs captured during an event may be made available through the EventPhotoId platform to allow participants to find and access their event photographs.
Because event photography may capture multiple participants in the same image, a photograph may contain individuals other than the person searching for it.
We take reasonable measures to provide photographs for their intended event-related purpose and to prevent unauthorised access to restricted information.
If you believe that a photograph containing you has been displayed improperly or that your privacy rights have been affected, please contact us using the details provided below.
8. Data Retention
We retain personal information only for as long as reasonably necessary to provide our services, fulfil the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce our agreements.
Event photographs may be retained for a period determined by the relevant event organiser and/or our service requirements.
Facial information used specifically for photo matching is subject to the temporary processing and deletion practices described in Section 4.
Once personal information is no longer required for its intended purpose, we will take reasonable steps to delete, anonymise, or securely destroy it, subject to applicable legal requirements.
